Vehicle Management Software

The WSMenterprise Vehicle Management system is a web based application that provides for all aspects of the management of a diverse fleet composition and operation. The Vehicle Management software provides extensive vehicle booking facilities and also alternative journey management options such as train, air or rail transport bookings. In doing this it also has the capability to record carbon usage of these various travel methods and the actual vehicle usage costs.

WSM Vehicle Management provides an online booking service that will find the most suitable and appropriate vehicle for the vehicle requestor  and then authourise its use for the specified time period. It will validate the users driving license and driving record to ensure company policies are adhered too and followed. Alternative methods of transport can be arranged for specific people and journeys where car usage isn't appropriate or feasible.

The Vehicle Management system also manages vehicle service records including maintenance records for the entire fleet. The number and type of vehicles is not limited and so an industrial /agricultural component of the fleet such as tractors, bulldozers, forklifts etc can also be managed effectively by the system. 

Fleet asset records for all vehicles are maintained along with all work history and future scheduled maintenance work can be managed by the system. The Vehicle Management software provides records that will store the current and future carbon and sustainability measurement of all vehicles. Extensive additional information on vehicle assets such as leases, insurance, registration, parking permits, electronic tolling tags are included within the system. 

Vehicle Management allows cars to be owned by individuals and yet be utilized during certain periods by other organisational users as part of a car pool system.  It also has processes for managing the booking of cars and their return to "home" base.

The Vehicle booking system component will also allow the analysis of vehicle use and journey analysis and monitoring.

Under the ‘Vehicle Bookings' Menu, Vehicles can be requested by an Employee via WSMplannet (web portal) for a trip which can then be booked against an available pool/fleet vehicle. Alternatively a Rail or Taxi Voucher can be requested and offered for the same trip if this is viable. Hired vehicles can also be requested if none of the alternatives are suitable or available, the request will then be forwarded to the

Administrator who will then seek approval to authorise a hire vehicle. There is also a number of automatically generated notification emails sent to both the Requestor and Administrator when the status of a booking changes (approved, cancelled, changed booking, keys taken, booking completed)

The Vehicle Management System then returns available vehicles for the selections made in the Request Vehicle. 

Requests, Bookings and Vouchers can be viewed via their respective list screens, where they can also be modified. Calendar Views of Bookings are also available to show bookings chronologically by Date. The ‘Vehicle Administration Menu can be viewed by those who have Administrator rights to the Vehicle Management System, this allows them to approve bookings (vehicle, taxi/rail vouchers), record when keys are taken out and returned, processing a request for hire cars, controlling when a vehicle can be booked out as well as the whole process of creating and defining a vehicle (Reference Data) in the system. They can also choose the email notification options and which notifications will be sent for which actions (Configuration Settings).
